Euroged identified four critical needs to maintain high levels of efficiency and compliance:
Operational efficiency: the need to route and categorize large volumes of PEC messages quickly and reliably to support helpdesk operations, reducing manual sorting and delays.
Accountability: the need to rigorously track responsibility; in a high-volume environment, knowing exactly who opened, read, or acted on a specific PEC is essential to avoid disputes or legal penalties.
Data sovereignty: the requirement to integrate AI capabilities within the document management system using private, secure inference, to protect sensitive information and attachments.
Compliance & flexibility: the need for a strict Zero Data Retention Policy to comply with data privacy regulations, combined with the ability to configure AI behavior at single mailbox level.
To address these challenges, Euroged chose to go beyond simple rule-based automation: AI systems were introduced to analyze the semantic content of PEC messages, enabling intelligent routing to the correct department or legal team with higher accuracy than static rules. AI inference also enforces workflows that require acknowledgment and action within predefined timeframes, generating immutable responsibility logs and complete audit trails.

- suggest the assignment of specific email to the corresponding team or person;
- assign a priority and urgency score to each PEC;
- download and process relevant documents and attachments;
- extract semantic information directly from the attachments and/or body text;
- design and govern end-to-end workflows that are fully traceable and monitorable.

Messages that are not routed automatically are placed into specific columns with assignment flags, including result and reason, allowing continuous prompt and model fine‑tuning and supporting legally compliant digital preservation.

Regolo allows us to use all available models – not just generalist ones – by querying LLMs hosted in Italian data centers, and it displays the reliability level of each response. We also appreciate that it is a sustainability-focused service that transparently shows the CO₂ emissions generated.
